Annual Science Meeting 11 - 13 May 2010

Introduction

Applications are invited from those with interests in the Oceans 2025 programme to attend the 2010 Annual Science Meeting (ASM). The ASM will begin with lunch on Tuesday 11 May and end with lunch on Thursday 13 May and will be preceded and followed by meetings of the Programme Advisory Board (PAB) and Executive Board (EB).

If applications exceed available places, acceptance will be based on strength of involvement in the programme, date of registration, and balance of project and institutional representation. A reserve list will be drawn and applicants notified accordingly. Details of the programme are available in the agenda.

Venue and overnight accommodation

The ASM will be held at the Holiday Inn, Plymouth.

Delegate rates are £85.00pp for bed and breakfast. Bookings should be made directly with the Holiday Inn no later than 11 April to secure the rate negotiated.

To avoid confusion with availability of rooms for ASM delegates, please speak directly with this number rather than central reservations.

Expenses

All costs are to be met by delegates with the exception of lunches, teas and coffees during the meeting and refreshments provided at the evening event to be held at the National Marine Aquarium on Tuesday 11 May. Travel and subsistence support is available for two representatives per SOFI award.

Parking

Parking spaces are available at the hotel for £3.00 per day.

3. Presentations

Oral presentation and poster presentation deadlines

If you have been invited to give an oral presentation or provide a poster, or coordinate submissions of posters on behalf of an Oceans 2025 Theme, please notify suggested presentation titles, ( including a brief description of 100-150 words ) and/or poster titles to Jackie Pearson, National Marine Coordination Office (NMCO) by Monday 1 March.

Presentations will be loaded in advance to ensure smooth transition between speakers. Please email your presentation to Jackie Pearson no later than Thursday 29 April. If your presentation exceeds the limit for transmission by email, please load it onto your ftp site and advise access details accordingly.

Please use the pre-prepared cover slide for your presentation.

Presentations that use video clips and/or animations

We will make every effort to ensure that presentations that include video clips/movies will play, however, in case of problems on the day, please bring a lap-top which will play your clips.

Display boards and velcro for posters will be provided at the venue - a "portrait" orientation is easiest to accommodate.
